Privacy notice

This notice explains Google data used by Christ Embassy Edmonton Foundation School at cefsedmontoncentral.ca. Updated September 26, 2026.

When you sign in with Google

Google supplies account identity information, such as your name, email address, profile image and verified account identifier. Firebase Authentication uses this information to create or identify your school account and support secure sign-in. Your school role and enrolment determine which parts of the portal you can access.

When the school connects its Gmail account

Only the school mailbox, ceedmontoncentralfoundationsch@gmail.com, is used as the sender. Google supplies its verified email identity and an authorization token that allows the platform to send email. The Gmail permission requested is send-only. This connection does not request permission to read the inbox, search existing messages, or delete mail.

Students and staff signing into the portal are not asked to give access to their Gmail accounts. They can receive school messages without connecting a mailbox.

What is sent and stored

Google processes the recipient address, subject and message content to send an email. Access emails describe the recipient’s role and how to enter the portal. School-update emails direct recipients to their protected school messages. These emails do not contain grades, residential addresses, dates of birth, or private lesson content.

Authorization credentials are stored in Google Secret Manager for the trusted school sending service. Account and delivery records are stored using Firebase. Authorized school administrators can review recipient and delivery information for support and administration. Google and the platform’s hosting providers process the information needed to operate these services; processing may occur outside Canada.

How Google data is used

Google account data is used for sign-in, sending authorized school communications, delivery review, security and support. It is not sold, used for advertising, or used to train general-purpose AI models. The platform’s use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

Retention and requests

School account, access and delivery records are retained for school operations and audit history. Disconnecting Google authorization stops future use of that authorization; it does not automatically erase school records or messages already sent. Requests to access, correct or delete information are handled by the school through the contact below. Credentials and retained records require an authorized administrative removal process.

Connection terms

Use Google sign-in only with an account you are authorized to use. Only an authorized operator of the school mailbox may connect it for outgoing school communication. Do not share account passwords or authorization credentials.

The Gmail connection is for role-specific access notices and authorized school updates. Optional update preferences are respected. Access notices explain an invitation or enrolment; receiving an email does not itself grant a role or bypass account verification.

Google provides its services under its own terms. The connection depends on Google authorization, service availability and sending limits. Authorization may be withdrawn, and email delivery is not guaranteed. If an email is delayed, you may still use your existing authorized portal access.

These terms concern the Google connection. They do not create a new enrolment acceptance step or activate the school’s separate draft programme policies.

Your choices

You can review or remove the school’s Google authorization from your Google Account connections. The school mailbox owner can revoke sending access there. Portal users can manage optional email updates in School messages or Privacy & help.
